Invoicing tips for designers
Itemize revision rounds
List each revision round as its own line item. Clients see exactly where the hours went, and extra rounds beyond the agreed scope become billable instead of free.
Separate licensing from labor
Stock photos, fonts, and asset licenses should be their own flat-fee lines. Mixing them into hourly work makes your rate look inflated and hides pass-through costs.
Invoice at milestones, not delivery
For projects over a week, bill 50% upfront and the rest at handoff. A deposit line item on your first invoice filters out clients who were never going to pay.
Frequently asked questions
Include your business details, the client's details, an invoice number, issue and due dates, then one line per deliverable (concepts, revisions, style guides) with hours and rates. Add payment terms (Net 15 or Net 30 is typical) and how to pay.
Both work. The invoice format is the same. For fixed-fee projects, use a quantity of 1 with the project price as the rate. For hourly work, list hours per deliverable so clients can see where time went.
Net 15 is common for small studios and solo designers; Net 30 for larger clients. Whatever you pick, state the due date explicitly on the invoice. 'Due on receipt' with no date is the easiest term for clients to ignore.
