Invoicing tips for consultants
Anchor lines to outcomes
'Market analysis & competitive report' justifies its price; 'consulting services, 10 hours' invites negotiation. Name the deliverable or decision each line enabled.
Invoice retainers on the 1st
Advisory retainers should be invoiced at the start of the period, due on receipt. You're reserving capacity. The client pays for access, not for hours already burned.
Bill expenses separately and at cost
Travel and materials go on their own lines at cost, with receipts available on request. Marking up expenses erodes trust faster than any rate increase.

Structure lines around engagements and deliverables (workshops, reports, advisory blocks) with hours and rates where relevant. Include invoice number, dates, terms, and payment details. For retainers, invoice at the start of each period.
For time-based work, yes. Transparency speeds approval. For value-priced engagements, invoice the fixed fee per deliverable without an hourly breakdown; showing hours against a value price only triggers rate math you don't want.
Due on receipt for retainers, Net 15–30 for project work. Larger corporate clients often push Net 45–60; if you accept that, price the float in and invoice the moment a milestone lands.
