Invoicing tips for photographers

Always separate licensing from the session fee

The shoot pays for your time; the license pays for usage. Itemizing usage rights (scope + duration) protects future revenue when the client wants to run the images in new places.

Line-item your editing hours

Clients see an 8-hour shoot but not the 6 hours of culling and retouching behind it. A visible editing line justifies your total and sets up billing for extra retouching requests.

Take a booking deposit

Invoice 30–50% to hold the date, non-refundable inside your cancellation window. Shoots are inventory: an empty Saturday can't be resold on Sunday.

Frequently asked questions

Separate the session fee, editing/retouching, usage licensing, and expenses onto their own lines. Include invoice number, shoot date, payment terms, and payment instructions. Invoice the deposit at booking and the balance at gallery delivery.

Yes, at least as its own line item. Even if you quote one package price, showing the editing component explains the total and makes extra retouching requests naturally billable.

Describe the scope precisely on the line: media (web, print, social), territory, and duration, e.g. 'Commercial usage license, web + social, 2 years'. Broader or perpetual usage should cost meaningfully more.
