Invoicing tips for videographers
Split production from post-production
Shoot day and editing are different cost centers with different rates. Splitting them shows clients why a 'one-day shoot' bills for a week, and makes re-edit requests billable.
Cap included revision passes
State the included edit rounds in the line description ('includes 2 revision passes'). Version 7 of a 'quick tweak' cycle is where unprofitable projects are made.
Pass through licensing at cost, visibly
Music, stock footage, and drone permits go on their own lines. Clients accept real third-party costs readily, as long as they can see them.
Frequently asked questions
Bill the shoot as a day/half-day fee, then list editing, color, and sound as hourly lines, and licensing or drone work as flat fees. Include invoice number, dates, terms, and a deposit for shoot dates, since production costs are front-loaded.
Flat per deliverable if the scope is tight (defined length, two revision rounds); hourly when the client drives the edit. Either way, cap included revisions in the line description so extra rounds are billable.
50% at booking is standard. It covers crew, gear rental, and travel you commit to before shoot day. Invoice the balance at final delivery, and hold the un-watermarked master until it clears.
